Terms of service
Last updated November 1, 2026
These terms apply when you use Docsheaf — the app, the API, docs sites published with Docsheaf and this website (together, the “service”). By creating an account or using the service, you agree to them. If you use Docsheaf on behalf of a company, you agree on its behalf and confirm you’re allowed to.
1. Your account
- Give accurate information when you sign up, and keep your email address current — we use it for security alerts and password resets.
- Keep your password, recovery codes and API tokens secret. You’re responsible for what happens under your account.
- We strongly recommend turning on two-factor authentication. Organization admins can require it for all members.
- Tell us right away at [email protected] if you think someone has accessed your account without permission.
2. Organizations and roles
Content lives in organizations. Organization admins decide who is a member and what role each member has, from viewer to admin. Content created in an organization belongs to that organization, even if the member who wrote it leaves.
3. Your content
You keep all rights to the content you create or upload. You give us permission to host, copy, process and display it only as needed to run the service — for example, to store revisions, build search indexes, render your docs sites and generate their Markdown, llms.txt and sitemap files.
You’re responsible for your content and for having the rights to publish it.
4. Publishing docs sites
- A public site can be read, indexed by search engines and read by AI tools — that’s the point of publishing it.
- An unlisted site can be read by anyone with its share link. Treat share links like passwords, and rotate them if one leaks.
- Published sites record anonymous reader analytics for you, as described in our privacy statement. You’re responsible for telling your readers about it where the law requires.
- If you connect a custom domain, you must own or control it.
5. Acceptable use
Our acceptable use policy explains what isn’t allowed on Docsheaf and how we handle reports. In short, don’t use Docsheaf to:
- Break the law, or publish content that infringes someone else’s rights.
- Distribute malware, run phishing pages, or impersonate another person or organization.
- Harass people, or publish content that exploits or endangers others.
- Probe, scan or attack the service or other users, or get around access controls or rate limits.
- Put unreasonable load on the service, for example with automated traffic that serves no legitimate purpose.
Found a security issue? Report it to [email protected] — good-faith research that follows our security guidelines isn’t a violation of these terms.
6. The API
You can use the REST API with personal API tokens to automate anything you can do in the app, within the permissions of your role. Keep tokens secret and revoke ones you no longer need. We may limit request rates to keep the service reliable for everyone, and we may change the API — we’ll announce breaking changes in the changelog.
7. Plans and payment
You can use Docsheaf on the free plan. If you subscribe to a paid plan, the price and what’s included are those shown on our pricing page or in your order when you subscribe. Our order process is conducted by our online reseller Paddle.com, the Merchant of Record for all our orders: Paddle processes payments, adds sales tax or VAT, issues invoices and handles payment questions, and its buyer terms apply to the purchase. Fees are charged in advance for each billing period; our refund policy explains cancellations and refunds. We’ll give you notice before a price change applies to you.
8. Availability and changes
We work hard to keep Docsheaf running and your data safe, but we can’t promise the service will always be available or error-free. You can check the current state of the service on our status page. We improve Docsheaf continuously, which means features can change; we won’t remove your ability to export your content.
9. Ending your use
You can stop using Docsheaf at any time, and you can export your content as Markdown or through the API before you go. You can delete your account from your account settings, and an admin can delete an organization from its settings; both take effect immediately. If you need help, email [email protected].
We may suspend or close accounts that seriously or repeatedly break these terms, or when the law requires it. Where we reasonably can, we’ll tell you first and give you a chance to export your content.
10. Disclaimers and liability
The service is provided “as is”. To the extent the law allows, we disclaim implied warranties such as fitness for a particular purpose, and we aren’t liable for indirect or consequential losses, or for lost profits or data. Our total liability for any claim is limited to the amount you paid us in the twelve months before the claim. Nothing in these terms limits liability that can’t be limited by law.
11. Changes to these terms
We may update these terms as the service changes. We’ll change the date at the top, and for significant changes we’ll notify account holders by email before they take effect. If you keep using Docsheaf after that, the new terms apply.
